How Time Management Training Benefits Your Business

Time is the most valuable resource in both our business and personal world, yet it is also the most neglected. Does your time management strategy ensure maximum productivity and opportunity readiness?
Do any of these sound familiar to you?

- No matter how much I get done, it never seems to be enough
- I am multitasking constantly
- My attention is spread among many different tasks, I lack focus
- I have difficulty determining which tasks are my greatest priority
- I am overlooking deadlines more often
- My stress and anxiety levels are high

The problems above are common to many of us in business, and a few of the reasons companies ask about time management training. These problems do not result from a lack of employee motivation, nor a lack of business skill or knowledge. The explanation is simple:

Few of us have been taught how to create effective schedules, group our tasks for optimum productivity, limit the negative effects of interruptions on our work flow, develop a practical and easily usable filing system, or techniques for managing our inboxes. Despite all of the possible degrees and certifications we may have, many of us still do not know how to skillfully setup an organized workspace and develop efficient systems to maintain it.

Fortunately, solutions far simpler than our problems do exist.

Time management training that targets our daily work flow with immediate, easy-to-implement processes will give us the tools and techniques to work efficiently, accomplish more during our day, and lower stress dramatically.

What areas should you focus on when you are getting started?

Time
Learn how you can set up daily schedules that allow periods of time with limited interruptions to improve performance on tasks which require the most concentration. Then find smaller blocks of time to group similar tasks like reading, managing your email and paper inbox, data entry, filing, or paying your bills.

Paper

Without a paper management system, you will waste time both checking the same items repeatedly to determine your priorities and hunting for needed documents. Stacks of papers and documents in your surrounding workspace are also distracting and reduce your ability to focus. Find a method to help you make a decision the first time by determining the next step and when you will have a reasonable chance of accomplishing it.

Email

Create folders both for your reference files and for daily action. The same issue occurs with your email inbox as with your paper inbox when you fail to make a decision on a message the first time and move it to the appropriate action category. Soon you are scrolling through your inbox several times a day, looking at the same messages again and again because you do not want to overlook another due date.

Filing

Choose one system for your reference files. Be selective in what you choose to keep. Eighty percent of what you file will probably never be looked at again. You know you have an effective filing system when you can find anything you file within seconds, whether it is next month or five years from now. You also need to be able to tell someone else where to find it. Consider a numbered filing system tied in with software to give you greater flexibility and allow you to use the computer's memory instead of relying on your own.

Effective time management training can be the best investment your company makes. Results include:

-Improve your concentration during work
-Prioritize your tasks easily
-Limit your need to multi-task
-Increase your productivity
-Reduce your stress and anxiety

What a long-term return for a small investment on your part!
