Graduation Party Planning for Large Venues

Planning a graduation party can be tough. However once you have the plan the party will go well.
Graduation party planning can appear like a very large task no matter what the size of the party. Generally there is the same list of many things to get through, but each item can be made all the bigger by the scale of the party. Indeed the sheer scale and responsibility of arranging a large party can be very scary. For some this level or responsibility can be overwhelming. The thought of disappointing, say a hundred graduates at a graduation party, can be quite alarming. Your mind may already be visualising disasters like the entertainer not turning up and the graduates hating the food. However the very positive reality is if you have good quality graduation party planning and work very hard to succeed you will create a brilliant party. Without a strong plan and hard work the success of the party will be left to chance.

The first step is to outline some kind of plan and organize the committee who will see it all through. You will need a lot of help and the committee is the first place you will get that help. No one can succeed with a large party on their own. With their help create a detailed plan in first draft and then set about checking and challenging it. Find out about previous events and graduation parties. What did they do, how big, who did what, how was the team structured, what worked well, and what would the team change. Getting down to the business of planning may seem pretty tedious but once it is complete you will have a blueprint which can run the tasks leading up to the party and the day of the party. You then need to be sure that the hard work is taking place and is working well. Reviewing progress is simple and must be proved by real evidence. Anything that is off track can get immediate attention to resolve it.

A fairly good plan will have all the tasks required from 3 months prior to the party and take each step in turn right down to checking batteries on the cameras. The plan can have things like set the budget, send out invitations, arrange caterers, book the venue, set the date, arrange entertainment and photographer, arrange decorations, arrange games and prizes, buy favors and organise parking. However, being a large party some of the items should be checked out quite rigorously. For decorations be sure you have enough to make the venue standout. You may be able to get help from the supplier to check this out. On safety, plan to involve the correct authorities like fire department and police. You need to be safety compliant. For security, engage or take advice from experts.

You do need to know how you will handle difficult behaviour, how you will ensure only invited guests enter the party and also how you will ensure your guests can leave safely. Perhaps you can talk to the graduates and work with them to create a code of conduct for the party. Be clear where parking will be exactly. Decide how you want to control the area surrounding the party. If there have been issues in the past talk to the police. For all suppliers like caterers and entertainers investigate all references. You can always go back to last year’s committee and see how they think your plan is taking shape. Indeed many suppliers will give you lots of tips on all manner of things related to the party.

For you this is a chance to take on something big and contribute to the school or college. Once you have completed the party you will feel fabulous. The sight of those happy carefree party goers will be amazing.
