Business Letters

A formal language is normally used to write a business letter. One business organization communicates to another by using business letters. It is also used when organizations write to their customers and third parties. So there are different styles of business letter depending on the situation. Its main purpose is to quickly communicate any business related information from one person to another.

Business letter should never be hand written and one should always double check the address before sending the letter. Also check your spelling and grammatical mistakes especially in person’s title and his/her last name. Above mentioned points are very important. Elements used while writing a business letter include:

Sender complete address with contact info
Date of writing the letter
Subject line - If you are replying to someone’s letter then always use "RE:" before starting the subject line.
Recipient's name which should include designation, company name & address
Salutation - Then you should write salutation or greetings. It’s important especially when writing to someone you don’t know. One should eliminate gender references when you are not sure about the recipient’s gender. It is always preferred to use person’s entire name as a salutation, for eg. "Dear Kery Travesta"
Letter body
Proper closing - End it with greetings or acknowledgment of the problem etc.
Sender's signature
Sender's name, designation, company name
Business Letters
Business letter should be concise. Keep it short and simple. Try to make your letter personal and it should not be full of insincere courtesy.
